Multiple Service Request Capability Aids Inspection


In previous releases, it was possible to initiate just one follow-up action per question in a questionnaire. This was limiting in cases where multiple follow-up actions were needed to resolve an issue noted in a questionnaire response. In V.25.1, it is now possible to initiate multiple service requests per questionnaire question.


I have detailed below the process to create the various questionnaires and associated questions from the previous 23.2 and 24.1 versions followed by the mobile application benefits to create a single service request from several questions.


Step 1- Defining Questions for Field Assessments

When performing field assessments, you may wish to have field assessors answer a questionnaire with a set of questions specific to each assessment project type and each type of equipment. For example, if you have a project type for a yearly condition assessment and another project type for a condition assessment after a damaging storm, you will want a different set of questions for each assessment. Similarly, the questions you require for assessing personal computer equipment will differ from those you require for the building's HVAC equipment. 

Once you define your assessment questions for various equipment standards and projects, the questions will appear on the following forms:

  • the Assessment mobile app
  • Capital Project Management / Commissioning / Construction / Manage Construction Checklists
  • Building Operations / Condition Assessment / Assessment Manager / Manage Assessment Items
  • Environmental & Risk Management / Environmental Sustainability Assessment/ Assessment Manager / Manage Assessment Items




Step 2 - Detailed Screens for creating Questionnaires 

Use the Define Assessment Questionnaires screen to create/edit Questionnaires has been updated to provide a structured and easy to use form.


Select the relevant questionnaire to display the associated Questions


New and existing questions are maintained in this screen.



Step 3 - Preview and Test the Questionnaire

As you define and format the questionnaire and add questions to it, you may want to preview how it will appear to mobile and Web Central users. 

The Define Questionnaire Console’s Preview button displays the questionnaire in a pop-up frame without the Save and Submit buttons so that you can interact with the questionnaire as a respondent would see it. 

Once the system displays the questionnaire, you can choose various answers so that you can see the various branching options that a user will experience; your entries are not saved because there is not a Submit button. For example, if you have defined the questionnaire to present a series of additional questions based on a Yes response to a question, you can enter Yes for this question and see the follow-up questions. 



Step 4 - Using Mobile Application Elements 

Now with all the relevant questions defined the user can perform the inspections from the mobile application and at the point of inspection failure create a new service request enabling the issue to be rectified.


As a respondent, you can create service requests directly from a questionnaire form. Click Create Request in the questionnaire to open the service request form, then enter details for the service request. You can also edit created service requests before you submit them.
